Who Plans a Wedding when there is a Wedding Day Coordinator?
If a couple contracts with a wedding day coordinator, the couple still holds the responsibility for planning their own wedding. They interview, hire, and plan with their service partners (a.k.a. vendors) themselves. They choose their menu, bar options, cake flavors, music, agenda, and anything else that needs deciding. They also pay their own invoices directly to their service partners in a timely manner.
The wedding day coordinator then meets with the couple and gathers all of the information they can provide. The coordinator reviews the conversation afterwards and assembles a timeline complete with the couple’s expectations and decisions. The coordinator often confirms service partner arrangements for the couple and shares the timeline document with relevant folks who need to know where to be and when. Armed with all of this information, the coordinator is able to manage the movements of the wedding day so the couple (a.k.a wedding planners!) can enjoy their celebration.
Special Service Partner Considerations
One thing that can be tough, but doesn’t have to be, is the relationship between ones wedding day coordinator and the service partners hired for an event. If the client has been particularly active in the planning of the wedding, the service partners might not see the coordinator as an authority on the wedding day. The best way to ensure that the dynamics are optimal and relaxing is for the couple to specifically let each service partner know that you have hired someone to manage the wedding and have granted that person full control and authority on the event day.
In my next post, we’ll compare what wedding day coordination IS and what it ISN’T.
