What Goes Into a Wedding Timeline?
One of the services we provide as a day-of coordinator is creating an event timeline to help manage your wedding day seamlessly. This timeline is an hour-by-hour “script” of how you want your day to unfold. It is vital to having a successful wedding day.
Some couples will leave gathering the information needed for the timeline to the last minute, but we suggest collecting it throughout your planning to help reduce last-minute stress. Here are some things you should have handy when we are strategizing the month before your wedding:
Copies of all of your service partner contracts so we can review for important details such as delivery times, meal requirements, and return windows
A list of your bridal party members with their names, roles, and an emergency contact number for each that will be available on the wedding day; this list should include any other parents/VIP guests who might be playing a special role such as reader or guest book attendant
Copies of any information you submit to service partners in response to their questionnaires; for example, these might include a list of must-have photos, or must-not-play songs
Copy of your guest list complete with first and last names of each attending guest and an accurate final count
Copy of your guests’ meal selections (if applicable)
List of all décor and ceremonial items (table décor items, containers, guest book, unity candle, etc.) you are bringing and the names of the folks who will be responsible for taking them home for you
Your thoughts on the timing for the wedding day; if you are unsure, we will help you sort it out, but if you have a good idea already, bring your notes
All of these documents and responses help us make your wedding day as stress-free and magical as possible. Don’t wait until the last minute to assemble them. Create a notebook where you can store all of the answers as well as the multiple to-do and task lists you will encounter on the way to the altar.
